About Brooklyn Economic Justice Project

Brooklyn Economic Justice Project (BEJP) works to expand access to capital, ownership, and economic opportunity for historically excluded communities. Through partnerships with entrepreneurs, community organizations, funders, and other stakeholders, BEJP advances strategies that strengthen community wealth, equitable economic development, and long-term neighborhood stability.

As BEJP grows, the organization is building the internal systems and operational capacity needed to support its programs, partnerships, governance, and emerging loan fund.

About the Role

The Operations Manager is a part-time, hands-on role responsible for helping BEJP strengthen its internal systems, coordinate organizational priorities, and ensure strong follow-through across projects and teams.

The Operations Manager will work closely with BEJP’s Partner Organization Chief of Staff, Fractional Executive Director, Fractional Loan Fund Manager, organizational leadership, Advisory Board members, and Board leaders. This person will also supervise and coordinate the work of graduate student-level fellows supporting BEJP’s research, programmatic, operational, and special project needs.

This person will help translate priorities into clear workplans, timelines, systems, and next steps while providing day-to-day operational coordination across the organization.

This is not an executive assistant role. The Operations Manager will be expected to exercise judgment, take ownership of assigned workstreams, improve systems, supervise fellows, anticipate needs, and help keep BEJP’s growing portfolio of work organized and moving forward.

The ideal candidate is highly organized, proactive, resourceful, collaborative, and comfortable working in a small, entrepreneurial organization where roles are cross-functional and priorities may evolve.

Key Responsibilities

Organizational Operations & Systems

  • Coordinate BEJP’s day-to-day operational and administrative systems.
  • Develop, improve, and maintain workflows, templates, procedures, shared files, and standard operating practices.
  • Maintain organizational records, calendars, document-management systems, and institutional knowledge.
  • Coordinate vendors, consultants, subscriptions, service providers, contracts, and renewals.
  • Identify operational gaps and recommend practical systems and process improvements.
  • Help ensure organizational tools, databases, shared drives, and project-management systems are consistently maintained and used.

Project Management & Strategic Follow-Through

  • Work with the Chief of Staff, Fractional Executive Director, and Fractional Loan Fund Manager to translate priorities into clear workplans, timelines, milestones, and deliverables.
  • Coordinate selected organizational projects from planning through completion.
  • Maintain project trackers, action-item lists, and organizational workplans.
  • Track commitments, deadlines, and deliverables and follow up with responsible staff, fellows, consultants, and partners.
  • Identify delays, risks, dependencies, and capacity constraints and elevate issues when needed.
  • Support time-sensitive initiatives and special projects, including activities related to BEJP’s loan fund launch and ongoing fund operations.

Leadership & Loan Fund Coordination

  • Provide operational coordination to the Fractional Executive Director and Chief of Staff to support organizational priorities and decision-making.
  • Work closely with the Fractional Loan Fund Manager to support loan fund administration, documentation, meetings, timelines, and internal coordination.
  • Help coordinate information and workflows between organizational leadership, the loan fund function, staff, fellows, consultants, and external partners.
  • Prepare agendas, meeting materials, project updates, briefing documents, and follow-up items.
  • Support clear division of responsibilities and communication across fractional leadership roles.

Graduate Fellow Management

  • Supervise and coordinate the work of graduate student-level fellows supporting BEJP’s research, operations, programs, and special projects.
  • Translate organizational priorities into clearly scoped fellow assignments, deliverables, timelines, and expectations.
  • Conduct regular check-ins, provide feedback, and support fellows in producing high-quality work.
  • Review fellow work products and ensure deliverables are accurate, useful, and aligned with BEJP priorities.
  • Help fellows understand organizational context and connect individual assignments to broader strategic goals.
  • Coordinate fellow workloads across leadership and project teams to avoid duplication and maintain clear ownership.
  • Support a strong learning experience for fellows while maintaining accountability for deadlines, communication, and professional standards.

Board, Advisory Board & Governance

  • Coordinate Board, Advisory Board, and committee meetings, including agendas, materials, scheduling, documentation, and follow-up.
  • Maintain Board and Advisory Board records, calendars, rosters, governance documents, and action items.
  • Support onboarding, orientation, retreats, and special convenings.
  • Coordinate communications among Board leaders, Advisory Board members, leadership, and staff.

Grants, Contracts & Organizational Compliance

  • Maintain tracking systems for grants, contracts, reporting deadlines, deliverables, and renewals.
  • Coordinate administrative aspects of grant agreements, contracts, and funder reporting.
  • Gather information and documentation needed for reports and contract deliverables.
  • Maintain organized grant, contract, compliance, and governance records.
  • Track recurring organizational obligations and ensure appropriate follow-up.

Team & External Coordination

  • Support onboarding and offboarding of employees, fellows, contractors, and consultants.
  • Maintain organizational policies, onboarding materials, and administrative records.
  • Coordinate staff meetings, planning sessions, retreats, and internal convenings.
  • Document key decisions, action items, responsibilities, and timelines.
  • Serve as a professional point of contact for selected consultants, vendors, funders, community partners, Board members, and other stakeholders.
  • Support logistics for organizational events, convenings, trainings, and special initiatives.

Qualifications

  • 5+ years of experience in nonprofit operations, project management, organizational administration, business operations, or a related field.
  • Demonstrated ability to manage multiple priorities, stakeholders, projects, and deadlines.
  • Experience supervising fellows, interns, junior staff, or project-based teams strongly preferred.
  • Strong project-management and organizational skills, with excellent follow-through.
  • Experience creating or improving systems, workflows, processes, and internal infrastructure.
  • Strong written and verbal communication skills.
  • Ability to prepare professional agendas, summaries, presentations, tracking documents, and meeting materials.
  • Strong judgment, discretion, and professionalism when working with confidential or sensitive information.
  • Ability to work independently and make sound decisions within established priorities.
  • Comfort working with fractional leaders, fellows, consultants, Board members, and cross-functional teams.
  • Strong technology aptitude and ability to learn and use project-management, CRM, file-management, and productivity tools.
  • Experience with nonprofit Boards, grants, contracts, community development, economic development, lending, philanthropy, or social impact is strongly preferred.
  • Commitment to economic justice, racial equity, community wealth building, and expanding access to capital and ownership.

The Operations Manager will help BEJP become more organized, coordinated, and execution-focused. Success in this role means priorities are clearly tracked, deadlines are visible, meetings lead to action, fellows receive clear direction and meaningful supervision, systems are easier to use, leadership has the information needed to make decisions, and important commitments do not fall through the cracks.

The strongest candidate will bring both a systems mindset and a bias toward action — someone who can see what needs to be built, improve it, manage people and projects effectively, and help ensure the work actually gets done.
