Position Overview
We are seeking a Director of Operations to oversee daily business activities and drive operational excellence. This role is part-time and is fully remote. It is a hands-on role that oversees the systems, accounts receivable, people processes and tools that keep Guardian running. The ideal candidate is strategic, systems-minded, brand-smart and high-EQ, with sound judgment and the ability to integrate technology into daily workflows. Working closely with the president, this role serves as a trusted second who can lead the agency in his absence. The ability to shift between servant leadership and hands-on, executing leadership is pivotal to its success. Candidates should demonstrate knowledge of prominent Christian organizations in the United States.
Desired Qualifications
- Experience: Bachelor’s degree. Proven operational leadership, preferably in a PR or communications agency, with a strong understanding of the faith-driven nonprofit sector.
- Skills: Exceptional leadership and team management; proficiency in AI and digital tools; comfort administering a full SaaS stack and managing access and vendors; working knowledge of invoicing and accounts receivable.
- Traits: Strong analytical and decision-making ability, outstanding communication, ability to see gaps in process that need to be resolved and an entrepreneurial, self-starting approach in a fast-paced environment.
Key Responsibilities
Operations & Strategy
- Operational Leadership: Support the president in day-to-day operations, ensuring efficient delivery of services.
- Finance & A/R: Oversee the monthly invoicing cycle and run regular past-due reviews to keep cash flow healthy. Review the budget, flag cost savings, and audit subscriptions to ensure they are actively used. Partner with the president and CFO to ensure all HR compliance requirements are met and kept current.
- Agreements: Draft, review and execute client retainer and service agreements, including crisis retainers, via DocuSign. Track expiration dates and proactively renew agreements before they lapse.
- Strategy & Process: Develop operational strategies aligned with agency goals and streamline processes using technology.
- Metrics & Quality: Track KPIs including utilization and capacity; ensure service quality, client satisfaction and compliance; mitigate operational risk.
- Project Management: Coordinate cross-functional projects such as website rebuild, new product creation and new initiatives.
Systems, Tools & Access
- Tool Stack & Access: Administer the agency software stack (HubSpot, Sprout Social, SEMRush, TikTok, X, YouTube and more); maintain credentials and provision or remove access during onboarding and offboarding.
- AI Integration: Support AI adoption across operations to improve decision-making and efficiency, and support internal AI learning.
People Operations & Culture
- HR & Lifecycle: Lead recruitment, development, retention and succession; manage onboarding, exit interviews and role transitions; maintain compliance and a high-performance culture.
- Team Rituals & Comms: Organize and run staff meetings, all-staff syncs, wellness breaks and learning sessions, and lead internal communications.
Marketing & New Business
- Agency Marketing: Support Guardian's own marketing, including LinkedIn ads, webinars, YouTube and the agency website.
- New Business: Build and maintain a sales cycle process that keeps the new-business pipeline active and moving. Evaluate sponsorship and partnership opportunities, support new-business resourcing.
