We are seeking a highly organized Fractional Project Management and Operations Integration Lead to help us build structure, systems, and execution discipline across the organization. This role is ideal for a proactive operator who thrives in small, busy companies and enjoys turning ideas into well-managed projects.

Role Overview

The Fractional Project Management and Operations Integration Lead will work closely with the CEO and will serve the operational backbone for the company. This person will help create clarity, build systems, manage projects, coordinates teams, and ensure strategic priorities move forward.

You will partner directly with the CEO and oversee projects that impact all areas of the business.   

This is initially a contract-based role, 15–25 hours per week, with the potential to grow into a longer-term or full-time role as the company scales.

Key Responsibilities:

Project & Program Management

• Convert CEO vision into structured project plans
• Create and manage Project Canvases for all major initiatives
• Build and maintain ClickUp (or similar) as our primary execution engine
• Oversee progress on a variety of projects including:
• Conference and webinar expansion
• Expanded marketing campaigns
• Content modernization
• Exploring AI initiatives
• Website refresh and migration

Operational Systems & Process Development

• Build SOPs or Playbooks for key company functions, i.e., webinars, content workflows, marketing, and customer support
• Implement efficient workflows across a small remote team
• Identify process gaps and proactively improve systems

Leadership Rhythm & Communication

• Deliver Weekly CEO Updates summarizing progress, blockers, and priorities
• Facilitate cross-team communication
• Ensure tasks, deadlines, and responsibilities stay aligned

Vendor & Contractor Coordination

• Work with developers, partners, marketing agencies, content contributors, and SMEs
• Track deliverables, timelines, and expectations
• Ensure alignment between internal priorities and external work

Team Coordination

•  Keep team members organized, informed, and focused
• Manage deadlines for part-time employees and contractors
• Support the CEO in prioritization and resource allocation

Ideal Candidate

• 5+ years in operations, project management, program management, or PMO roles
• Experience in small businesses, agencies, startups, or fractional/consulting work
• Strong time management and communication skills
• Experience with the Project Canvas methodology
• Experience with ClickUp, or similar tools
• Comfortable coordinating remote teams
• Detail-oriented, proactive, and systems-driven
• Able to self-manage with minimal oversight

• Content publishing
• WordPress/Drupal web development coordination
• Digital marketing workflows
• Professional education businesses
• Financial services or regulatory environments
