The Role
Seygan is hiring a fractional Chief of Staff to serve as the operational foundation of the firm as it grows. Reporting directly to the founder, this person will manage the systems, workflows, and external pipelines that turn the founder’s vision, content, and relationships into measurable traction. This is a part-time engagement to start, with a clear path to expanded scope and leadership as the firm grows.

Responsibilities

Thought Leadership Operations
- Manage the pipeline of speaking, podcast, panel, and publication opportunities—sourcing targets, submitting applications, and tracking status
- Coordinate the founder’s content calendar across LinkedIn and other platforms: scheduling, publishing, and monitoring engagement
- Handle logistics for confirmed engagements—scheduling, prep materials, travel coordination, and follow-up
Relationship & Pipeline Management
- Manage outreach to prospective partners, referral relationships, and target accounts identified by the founder
- Own the CRM—maintaining accurate records, tracking pipeline stages, and ensuring timely follow-ups across all external relationships
- Coordinate meeting scheduling, prep, and post-meeting action items
- Prepare polished proposals, capability statements, and pitch materials from founder-provided direction
Firm Operations & Infrastructure
- Build and maintain operational systems: templates, workflows, intake processes, and reporting
- Establish a weekly reporting cadence on outreach volume, pipeline status, and engagement metrics
- As the firm scales: coordinate partner and consultant onboarding, manage client delivery logistics, and support internal team operations
Operational Judgment
- Anticipate operational needs and build processes proactively, not reactively
- Flag what’s working and what isn’t; recommend adjustments to systems and priorities
- Bring independent thinking to how the firm operates—this role requires judgment, not just task execution

Qualifications
Required
- 3–5 years in operations, project management, or chief of staff roles in a B2B professional services or consulting environment
- Strong organizational skills with a track record of building systems, managing pipelines, and keeping complex workstreams on track
- Excellent written communication—able to prepare polished outreach, proposals, and materials with minimal revision
- Self-directed and resourceful; comfortable operating in an early-stage environment with limited structure
- Genuine interest in Seygan’s mission at the intersection of AI and human cognition
Preferred
- Experience managing thought leadership operations—speaking pipelines, publication submissions, or executive visibility programs
- Familiarity with regulated industries (financial services, pharma, healthcare)
- Proficiency with CRM platforms, scheduling tools, and project management software
- AI fluency: ability to build or leverage AI-driven workflows and automations to scale operations. Candidates without this skill who are motivated to develop it will be trained as part of the role.
